RENTAL POLICY
RESERVATIONS can be made online, by e-mail or by calling our reservations desk during regular office hours. Prices are quoted for 7-day rentals, 2-4 night minimum nights available during some periods and for overnight accommodations where available. Online Bookings require acceptance of terms and conditions and valid credit card information. Offline bookings require a 50% advance rental amount on reservations made greater that 31 days prior to the arrival date or 100% advance rental amount 30 days or less prior to the arrival date and a signed rental agreement must be received within 7 days of the booking to confirm a reservation otherwise your vacation rental agreement may be cancelled without notice. Your vacation rental agreement will be sent to you after the reservation is made. This document will detail cost, due dates and policies. The down payment includes half of the rent, half the sales taxes and the non-refundable $45.00 Reservation fee. Accidental Rental Damage Insurance (ARDI) is added to the rental rate. The entire balance of your vacation rental agreement amount is due in our office 30 days prior to your check-in date. Personal checks are acceptable for advance rental payment and balances due, provided the check is received 30 days prior to the arrival date. Otherwise, the payment must be made by certified or cashier¹s check, money order, Mastercard, Visa or AMEX. A $45 service charge on all NSF checks will be added to your balance. All advance rent amounts and the security deposits will be held in Holiday Vacation Rentals Trust Account at First Community Bank, Harbor Springs, Michigan
ACCIDENTAL RENTAL DAMAGE INSURANCE is included in every rental in lieu of a security deposit. ARDI protects you for up to $1,500.00 in covered damages and inadvertent acts or omissions during the duration of your stay. See Rental Damage Insurance for details on insured coverage. Renter shall be responsible for damages not covered under ARDI resulting from negligent acts and for the cost of extraordinary cleaning.
VACATION RENTAL PROTECTION PLAN is available as an option on each reservation. The Vacation Rental Protection Plan provides insurance coverage in the event your travel plans become interrupted due to medical and other covered emergencies. The fee for the insurance is 7% of rent, plus tax, plus non-refundable fees. The Vacation Rental Protection Plan must be paid for at least 30 days prior to arrival or at the time you make your reservation, whichever is earliest. Holiday Vacation Rentals does not refund payments in the event of inclement or severe weather. See Vacation Rental Protection Plan for details on insured coverage. Insurance coverage is underwritten by the National Fire Insurance Company of Pittsburgh, PA, with its principal place of business at 70 Pine Street, New York, New York10270. It is currently authorized to transact business in all states and the District of Columbia. NAIC No. 19445
SECURITY DEPOSIT Accidental Rental Damage Insurance (ARDI) waives the need for a Security Deposit. A Security Deposit, when charged, is refundable after the check-out inspection of your rental. The Security Deposit is NOT applied to rent. Your reservation will not be checked-in until payment has been made. NO REFUND on prepaid rent or fees will be issued to customers refusing to pay the Security Deposit when due. Renters may pay the Security Deposit by check, MasterCard, Visa or AMEX. Holiday Vacation Rentals shall deduct from the Security Deposit reimbursement for charges that result from, but not limited to:

Holiday Vacation Rentals has a thorough inspection policy to ensure our rentals are in good condition and that renters will not be inadvertently billed for missing or broken items. Please assist us by reporting any missing or broken items to our office within 24 hours of check-in. If damage, breakage, or spills occur during your stay, please notify us immediately.
CANCELLATIONS In the event of a cancellation, notice must be in writing to: Holiday Vacation Rentals, 6789 S. If a confirmation is cancelled sixty-one (61) days prior to the arrival date, one hundred (100) percent of the total rental fee, less the reservation fee of $45 and a $150 cancellation fee will be refunded. If cancelled between thirty-one (31) days and sixty (60) days prior to arrival date, fifty percent (50) of total rental fee, less the reservation fee and the cancellation fee will be refunded. If a confirmation is cancelled thirty (30) day or less prior to the arrival date, and if the property is re-rented for the original vacation rental amount, one hundred (100) percent of the total rental amount, less the reservation and cancellation fee will be refunded. If re-rented for less than the original rate, renter will receive the balance of the rental amount, less the reservation and cancellation fee. If the property is not re-rented, or if there is payment outstanding, no refund will be paid. If Vacation Rental Protection travel insurance was purchased the premium is not refundable. THE VACATION RENTAL PROTECTION PLAN IS HIGHLY RECOMMENDED TO PROTECT AGAINST UNEXPECTED TRAVEL DELAY OR CANCELLATION.
UNFORSEEABLE CIRCUMSTANCES Holiday Vacation Rentals bears no responsibility in the event of loss of power due to weather, electric company outages, water company outages, inclement weather, or any circumstances beyond our control. NO REFUNDS or cancellations will be offered for such circumstances.
TRANSFERS A $150.00 fee will be charged for transferring a confirmed rental week for the same property to another available date within the same rate period.
CHECK-IN time is between 4 PM and 5 PM on the arrival date. Early check-ins will be available on a limited basis. If you are unable to check-in during this time period, please call us for late arrival and check in instructions. We can only arrange late check-in if your balance has been paid in full and your lease has been signed and returned to us.
CHECK-OUT time is 10 AM. Please observe this rule, as our housekeeping staff needs time to prepare for our next guests. LATE CHECK-OUTS MAY BE CHARGED UP TO AN ADDITIONAL ONE (1) NIGHT RENTAL IF PROPERTY IS OCCUPIED AFTER CHECK OUT TIME WITHOUT APPROVAL. Upon leaving, please secure all windows and doors, wash dishes, and clean out the refrigerator. Trash should be placed in the location designated in your rental Guest Information Book- Check Out Procedures. Leave all towels in the home and leave the beds unmade. Unless otherwise designated, keys should be placed in the key drop at the check-in location. If your rental requires extra cleaning because you left it in poor condition, you may be charged an additional cleaning fee. Two (2) KEYS will be issued at check-in. A $50.00 charge per key will be charged for keys not returned.
FURNISHINGS AND EQUIPMENT The properties that HVR represents are private residences and are decorated by the individual owners. Décor reflects the taste of the owner and vary widely. Each property is unique. Renters should ask as many questions about the specifics of a property and view photos to select a property suitable to your preferences and budget. Homes are furnished for normal housekeeping with dishes, cookware, flatware, glasses, and basic appliances. Where grills are provided, please grill on the concrete or in designated areas. Bed linens and towels are provided. Please be sure to pack any specialty items that you may require during your stay. In some locations sports equipment, snowmobiles, jet skis and boats may be rented locally.
FIREPLACES where available, are for use in fall and winter rental seasons, October thru April, only and may not be used while the air conditioner is running.
HOT TUBS AND POOLS Pools and hot tubs are cleaned between guests. Since neither the homeowner nor Holiday Vacation Rentals employees are on the premises during the use of these amenities, the rental party agrees to be solely responsible for the use and operation thereof. Renter will be charged for mid-week spa or pool cleaning resulting from overcrowding or misuse.
PETS are only permitted in rentals indicated as pet friendly. Rental houses that allow pets are indicated in the listings. Please call us for a current list of homes that allow pets. If you bring a pet, an additional pet cleaning fee of $150.00 plus tax will be collected and additional deposits may be required. Pet owners will be financially responsible for damages and extra cleaning. Pets shall be limited to two (2) domestic, adult dogs (no puppies).
DESCRIPTIONS AND RATINGS Each property is rated according to condition and amenities to help with your rental selection. See Vacation Rental Ratings. Every effort has been made to ensure that property ratings, descriptions and distances to area attractions, skiing, golf, beach and water accesses are representative; however, HVR is not responsible for changes to furnishings or equipment, or errors in descriptions. HVR WILL BE UNABLE TO MOVE YOU TO ANOTHER RENTAL DUE TO DIFFERENCES IN DESCRIPTION OR RATING.
RESTRICTIONS Rental guests are required to abide by rules and regulations for the property in which they stay. A Guest Services Guide is located in the property and includes applicable rules and regulations along with specific guidelines for the rental property, check out procedures, emergency numbers and other pertinent information. Some locations have restrictions for no RVs or campers parking on the premises.
OCCUPANCY Holiday Vacation Rentals will not allow overcrowding of the house beyond the occupancy limit specified for the property. Renters will be subject to eviction, loss of any security deposit and entire rental payment if overcrowding occurs. Occupants represent themselves to be an adult 21 years of age or older. In addition, all occupants of single family units must be either (1) the tenants named on the lease (if unrelated parties) (2) 21 years of age or older (3) direct descendants of the renter (such as children, grandchildren or great-grandchildren), (4) direct ancestors of the renter (such as parents or grandparents) (5) siblings of the renter, and/or (6) a maximum of one additional person for each occupant, direct descendant, direct ancestor or sibling of the renter. If Renter doe not comply with this paragraph, Renter(s) and occupants will be refused entry onto the premises and Renter(s) or occupants will not be entitled to a refund of any rent payments made.
CONDITION OF PROPERTY All equipment in the units should be in working order. Please report any inoperative equipment to our office. Every reasonable effort will be made to promptly repair the inoperative equipment. No refunds will be made for inoperative air conditioners, appliances or for mechanical failure, or delays in utilities. Renters are responsible for leaving the rental property in like condition at departure.
LOCKED CLOSETS contain owner’s personal property. Please respect these locked closets, cabinets or rooms. They are NOT INCLUDED as part of your rental.
ITEMS LEFT BEHIND Holiday Vacation Rentals is not responsible for items left in homes. Please double-check your rental for personal items prior to departure. There is a $35 fee plus cost of shipping.
